November 17, 2011
The meeting of the Sacramento Assistance Program advisory board
was called to order by Chairman Gary Merrell. The members in
attendance were Gary Merrell, Paula Merrell, Marrianne White and
Kathy Swope.
Kathy has not been able to meet with Jane Sutherland to arrange
for Jane to design our logo. Paula will take the information to
Jane.
Buying turkeys for the program has proven to be too costly. The
cost will be over $1000. We will try again next year; in the mean
time we will contact some turkey producers. Gary will contact Prater’s
turkey farm in Lubbock.
Donations have slowed down. Gary will replace some signs on the
pigs. Stealing money from the pigs has not been a problem.
Marrianne contacted Jim Bailey from the Ministerial Alliance. She
told him about our program and suggested that we work together so
that our efforts are not duplicated. Rev. Bailey did not seem
interested. It was suggested that Marrianne contact the churches
individually and talk with pastors and church secretaries.
Marrianne suggested that she and Kathy meet with LeOrla Wright,
Debbie Dalton and Lisa Morales. They are the ones at the school who
will be sending clients to us. Marrianne has had cards printed with
information about SAP. These will be placed in the village office,
the Chamber, the schools, and Dr. Montoya’s office.
It was called to our attention that some of our clients were
taking extra meat from the table when the volunteer was not looking.
We decided that we need to station an extra volunteer at the meat
table.
Marrianne provided the committee with the financial report for
the month. We have a balance of $4,707.20.
We discussed the possibility of having an enchilada dinner to
benefit the center. We could have a dinner to raise funds for SAP at
a later date. Gary will contact Lance Wright and find out if the Boy
Scouts’ lasagna dinner was profitable.
The committee meeting was adjourned at 10:30 am. These minutes

October 20, 2011
The regular meeting of the Sacramento Assistance Program was called to order at 10:20 a.m. in the SMSSI center by Chairman Gary Merrell. Members in attendance were Gary Merrell, Paula Merrell, Jo Ann Hauser, Sue Haslam, Dennis Davis, Marianne White and Kathy Swope.
The members read the minutes from the previous meeting. Sue moved that we accept the minutes as printed. Jo Ann seconded the motion. The minutes were approved.
Marianne presented the treasurer’s report. The balance at the beginning of the month was $4,850.74. There was a deposit of $75 and a check to Roadrunner Food Bank for $260. The ending balance was $4,665.74. Paula moved to accept the treasurer’s report as presented. Dennis seconded the motion. The report was accepted.
Kathy is in the process of buying the t-shirts for RR food bank distribution day. Kathy is meeting with Jane Sutherland tomorrow to have Jane design the logo for the shirts. The shirts need to be a dark color with lighter, coordinating printing.
The audit did not reveal that we need to reimburse the center for our using the utilities, staff, etc. Our percentage for these costs is covered by the loan from the small account to cover expenditures. SMSSI pays back about half of what is borrowed.
Businesses that will accept our vouchers are Allsup’s, Kat’s Kloset, Back on the Rack, and House of Treasures. SAP helped on client with $20 for gasoline. The client is deaf, and Marianne helped her obtain job interviews at the Lodge and at Spruce Cabins. She is now working at the Spruce Cabins.
At the last RR distribution, Michael Jarnigan expressed concern about recipients having to complete community service hours. Marianne explained to him that in this way, clients can give back to the community and not just be takers from the community. Mr. Jarnigan is associated with Habitat for Humanity. HfH will raffle off a home, and the proceeds are given to various charities. This is a county wide sale. The committee expressed interest in this fundraiser. Marianne will get more information for us.
For November and December the food distribution will be back up to 50 pounds for each family. This will include meat. It was suggested that we buy turkeys to be given out at the December distribution. Marianne will talk to Lowe’s, WalMart and Allsup’s. Sue will talk to Helen at the Cross-eyed Moose, Carol at the Western, and check prices at the base. We would like the price to be less than 50 cents per pound.
Marianne has been meeting with the Ministerial Alliance. They need to use us as a resource. With a network of e-mails, the churches can be informed as to what has been given and to whom it was given. Marianne is to meet with the alliance on or before November 3rd.
On distribution days, volunteers must help unload, distribute and clean-up. Volunteers go through the line first. Gary related that he had seen food from our distribution last month tossed on the side of the road. There was a discussion about not wasting food. According to RR rules recipients cannot pick and choose what they take. They are to take everything available in that distribution. If someone refuses something, they cannot have more of something else.
Our next meeting will be November 17th at 10 a.m. Sue moved that the meeting be adjourned. Marianne seconded the motion. The meeting was adjourned at 11:30 a.m. These minutes are respectfully submitted.

The monthly meeting of the Sacramento Assistance Program
Advisory Board was called to order by Chairman Gary Merrell at 10:10 a.m.
in the SMSSI center. Members in attendance were Gary Merrell, Paula
Merrell, Joann Houser, Marianne White, Kathy Swope, and Estelle Compos.
Minutes from the previous meeting were reviewed. Marrianne
moved and Joann seconded the motion to accept the minutes as printed. The
motion passed.
Joann suggested that a line be added to the "Request for
Crisis Assistance" form to indicate that the recipient understands
that assistance is limited to twice yearly or a monetary limit of $200.
Paula suggested the addition of three initial lines to the form to
indicate that the recipient: 1) understands that he/she agrees to
community service; 2) has received a list of suggested community service
sites; 3) understands that assistance is limited to two times a year or a
monetary limit of $200. These will be added to the form. There was
discussion about policing the completion of the community hours. It was
decided that keeping track of the hours would be too great a burden for
Kathy. If someone asks for further assistance, the first criteria for
acceptance will be the proof of completion of the first community service.
Marianne gave the treasurer’s report. There is a balance of
$4883.12. There was a question about some of the checks being received and
properly credited to SAP. Marianne will check the bank statements.
Gary asked for new business. Kathy would like to purchase
T-shirts for the Roadrunner volunteers. They will wear them on food bank
day so that all will know the volunteers. Kathy found a supplier that
offers 50 shirts for $350 plus a $40 set up fee for the printing. Gary
suggested that we limit the cost to $500. Paula moved and Joann seconded a
motion that we allow Kathy to buy the shirts with a limit of $500. The
motion passed. Paula told Kathy about Jane Sutherland. She is a graphic
artist and will design the shirt for us. Paula gave Kathy the information
to contact Jane.
Kathy informed us that AAA may force SAP to pay a portion of
the light bill. That will probably be about $15 a month, and we may also
have to reimburse the center for paper, clerical help, etc. We will find
out more when AAA does the audit.
Susan Mack (Back on the Rack) will accept our vouchers. She
will also help those with a need purchase Christmas presents from her
shop. Kat’s Kloset will accept the vouchers also. Gary will talk to
other businesses; and, if needed, Joann will help. Gary will work on the
list for community service sites. We will not be able to have volunteers
at the schools because the cost of the background check and fingerprinting
is prohibitive. Places that were suggested were: library, village,
stacking wood for a neighbor, etc.
Our next meeting is October 20th at 10 a.m. Kathy moved that
we adjourn, and Estelle seconded the motion. We adjourned at 10:35 a.m.
